Here you will find general information regarding the fulfillment of conditions, obligations and requirements for you as a recipient of support. Project-specific information for you is stated in your decision on support from the Swedish Board of Agriculture.

Below is general information regarding the implementation and reporting of Leader projects. Conditions, obligations and requirements are issued and controlled by Swedish Board of Agriculture.
Once your project has been prioritized by our board, the leader office will invite you to a project workshop together with other project owners. We will then go over what you need to consider when implementing and applying for payment for your project. The presentation for this project workshop consists of 4 parts.
Parts 1-2: are about conditions and preparation for payment.
Part 3: Interim report and Part 4: Final report.
You are responsible for following the terms and conditions.
Read your decision!
When your project has received a formal decision of approval from the Swedish Board of Agriculture, you will receive a decision and information about the conditions that apply to your project.
You are required to take note of that information and what is considered eligible expenses to report and what is required for them to be approved for reporting.
We recommend that more than one person is aware of the decision and has the opportunity to benefit from the content.
Should you start the project at your own risk? You should refer to the project application that has been prioritized by the Leader Nordvästra Skaraborg board and the budget you have attached. There are no guarantees that the expenses you have accrued will be reimbursed before the decision on support has been confirmed. In addition, the expenses you report must be considered eligible for support according to your decision in order to be approved.
Your decision on support will be sent by post and is available on "my pages" in the Swedish Board of Agriculture's e-service.

Partial reporting
It is only when you have received your decision on support that you can apply for payment. You then report the expenses incurred in the project with the associated documentation required for them to be assessed as eligible for support and approved for payment.
In the case of an interim report, you should also write a progress report in which you describe which activities have been carried out in connection with the expenses you are reporting.
We recommend that you report your expenses on a regular basis, as this simplifies the scope and makes it more manageable than collecting everything at the end.
Final report
When you have completed all the project activities and all expenses have been paid historically, you must make an application for final payment, which in addition to accounting for remaining expenses, involves a final report in which you must provide a descriptive picture of the project as a whole from its beginning to results and continued long-term sustainability.
Always contact the leader office before submitting your final payment. We need to know the content and results to facilitate the processing. Together we will book a time for a meeting, preferably at your location if possible, well before your end date.
Come to our project meetings
Once or twice a year we offer meetings for those who run a project. The idea is to give the projects a chance to network, learn from each other and benefit from experiences and knowledge during the project journey. We offer, among other things, study visits and knowledge seminars for exchange and inspiration.
Keep us informed about your project
We want to follow your project and act as a sounding board for you. Together we will set up a follow-up plan for feedback and reporting on your project. The Leader office will also make an admission that what you have stated in the application for payment is consistent with what has been implemented in the project.

Use the right logos
It is important that you as a project owner inform about the financiers of your project. If you fail to display the logos in, for example, marketing materials, it will be deducted from your application for payment.
The information obligation applies to all information that you communicate about the project.
The Swedish Board of Agriculture checks the information obligation in connection with the processing of payments. This primarily includes expenses related to information efforts, but also that there is information about the project and its financiers on digital platforms used by you as a recipient of support. This applies to the web and social media.

Separately reported expenses
All projects that are granted support are obliged to report the project separately in their accounting.
All expenses and income belonging to the project must be reported separately from ordinary operations.
Checking of separate accounting takes place when applying for payment and must be uploaded as an attachment in the e-service.
Beneficiaries and expenses
All expenses must be incurred and paid by you as the recipient.
Expenses should be linked to the activities specified in your project plan and budget.
It must be clear when applying for payment that the expenses will lead to fulfilling the project's purpose and objectives.

Important that it is historical
When you apply for payment, it is important that what you report has taken place within your project period, i.e. after the arrival date in the e-service and before the end date in your decision.
What you report must also be historical, meaning that it has been implemented and paid for by you as the recipient of the aid before you submit your application for payment.
When you partially report expenses, it is important that the historical payment from you as the recipient has been made before you submit the application for the specific partial application.
You are required to upload historical payment proof from your bank linked to the expenses you report when you apply for payment.
Invoices and Documentation
This should also be reported
The expenses you are applying for payment for must be reported with correct supporting documents such as invoices (possibly associated documents such as quotes) and historical proof of payment from the bank.
If you report expenses for coffee or food, you must upload documentation on participants and the invitation/program/reason for the activity that included food.
If you report expenses related to communication materials, you must upload documentation showing that the information includes the correct logos.

Volunteer time and resources
Report non-profit time
When applying for support, you have indicated private contributions in the form of volunteer time and/or volunteer resources. The volunteer time must be documented and can be reported to the Leader office. You must also report the total value when applying for final payment. Changes to the plan
Apply for change
In the project, you will probably want to make changes from what was stated in the application for support and there may be deviations in the budget.
Contact us at the leader office. We will assess whether your change affects the purpose and objectives or whether a re-decision is required. In most cases, it is only important that we are informed and can substantiate your change or deviation with a service note when applying for payment.
